Terms of Service for Your AI Receptionist

These terms set out your subscription, payment obligations, call handling responsibilities and our service limits. Read them before starting your practice's free trial, and use fictional details to test the browser demo first.

Operator and service agreement

These terms govern use of Chiropractic Answering Service, operated by TypeScience, trading as Chiropractic Answering Service. The service provides an AI receptionist for chiropractic and physical therapy practices. When you subscribe, these terms describe the service we provide and the responsibilities you take on for your business.

You can contact us at [email protected] for help with the service or your account. Privacy requests go to [email protected]. We sell the service online through the website and onboarding chat, without a phone sales line.

Signup and practice setup

You start through an email sign-in link and an onboarding conversation with the AI. Your answers and the website you point us to provide information about your practice. Setup covers your services, hours, service area, price policy, urgency instructions and the people who receive urgent calls.

You are responsible for the accuracy of the business information and policies you provide. Review your instructions before forwarding calls, and update them when your office arrangements change. You can change settings by telling the AI in plain words through the service.

What the receptionist does

Your receptionist answers as your business once your calls are forwarded to it. You choose whether to forward all calls or only calls that are unanswered, busy or outside office hours. A forwarding guide and test call support setup before you go live.

The service takes messages, asks intake questions, flags urgency and routes calls using the instructions you set. It can book appointments into Google Calendar or collect details for your callback. It speaks English and Spanish, and callers can change language during a conversation.

You receive email and app push alerts containing the call summary, urgency tag, transcript and recording, plus a daily digest email. The dashboard includes call records, usage and settings. You remain responsible for reviewing the information that reaches your practice.

AI disclosure and recording

The receptionist states at the beginning of each call that it is a virtual assistant and that the call is recorded. These notices are part of the service and cannot be turned off. Your responsibility for your greeting and policies includes the business information you supply around those required disclosures.

Demo calls and chats on this website are recorded and transcribed to display the result. Use fictional details when evaluating the demo. The demonstration lets you hear call handling before you decide to forward your practice's number.

Monthly plan and usage charges

The subscription costs $399 per month and includes 500 AI minutes. Extra minutes cost $0.20 per minute. Overage minutes are billed monthly, and you can review usage in your dashboard.

Your plan is month to month and renews monthly until you cancel online. Our payment processor handles billing, and we do not store full payment card numbers. Review the plan and your usage so you understand the subscription and any extra minutes billed to your account.

Free trial and conversion

The free trial runs for 14 days and is capped at 100 minutes. A card is required before call forwarding goes live. The browser demo is available without signup for an initial test using made-up details.

The trial converts to a paid subscription only with a card on file. We send a reminder email two days before conversion. Read that reminder and your plan details when deciding whether to continue with the service.

Cancellation and lapsed plans

You can cancel the subscription online in one click. Cancellation takes effect at the end of the paid month. The subscription otherwise continues to renew monthly under the plan terms.

If your plan lapses, calls go to your backup number or voicemail. Keep that destination appropriate for your practice and maintain a backup way for callers to reach you. Cancellation of the subscription and deletion of stored call records follow their respective terms and retention schedules.

Your call handling responsibilities

You are responsible for your greeting, practice policies and the accuracy of what you tell the AI. Set the people and order used for urgent transfers or pages. In a warm transfer, your on-call person hears a short summary and presses 1 to accept the call.

Review summaries because the AI can make mistakes. An urgency tag supports your office workflow; it does not replace clinical judgment. Keep a backup contact arrangement and an on-call clinician for clinical calls so your practice has a person to handle those conversations.

Clinical boundaries and emergencies

The receptionist handles front-desk tasks and does not provide diagnoses, exercise advice or clinical triage decisions. Insurance and benefits questions are noted for your team rather than treated as verified coverage. Clinical questions go to the on-call clinician.

The service is not an emergency service or a replacement for 911. Its safety script directs medical emergencies to 911 and crisis calls to 988. Calls describing spreading numbness, loss of bladder or bowel control, or severe pain after an accident are directed to urgent care or 911 first, then your office is alerted.

Use with protected health information

Our position on use with protected health information is the pending status (no business associate agreement is in place). Until this status is set, you must not use the service with protected health information. Use invented patient details during demonstrations and testing.

Assess that published status before deciding which calls to forward from your practice. Your intake instructions determine the front-desk information you ask the receptionist to gather. Do not use a demo conversation to provide a real patient's medical history.

Optional website chat and follow-up calls

Website chat is an add-on that uses the same business knowledge and rules as your receptionist. Lead follow-up calls are a separate add-on for people who submitted your web form and gave prior express written consent through a checkbox naming your business. You are responsible for maintaining the consent records for those calls.

Follow-up aims to begin within about a minute and operates from 8 a.m. to 8 p.m. in the recipient's time zone. It makes one attempt plus one retry, and opt-outs are honored at once. The service does not offer cold calling, list dialing or purchased leads.

Acceptable use and suspension

You must not use the service for illegal activity, cold calling, robocalling, impersonation or harassment. Your use must follow the call handling purposes and consent requirements described in these terms. Do not supply purchased leads or lists for outbound dialing.

We may suspend service for abuse. Keep your practice's routing and backup contact information current as part of managing your phone arrangements. The service is intended to support legitimate front-desk communication for your business.

Data processing on your behalf

Your business decides what caller information is collected and the purposes for collecting it. We process that information on your behalf to provide the receptionist, call records and notifications. These data processing provisions form part of your service agreement.

Processing includes caller numbers, audio, recordings, transcripts and summaries. Providers involved in operating the service include hosting and storage, telephone carriers, AI voice and text models, payment processing, email delivery and analytics. The AI model provider, OpenAI, does not use our API data for model training by default.

Calls, website and demo chats, recordings, transcripts and summaries of trial and customer accounts may be reviewed by authorized staff for quality, support and abuse prevention. Access is limited to those purposes.

We never sell personal information or use caller data for our own marketing. Account details, onboarding answers and the website content you supply also support operation of your account and receptionist. Our privacy policy describes collection and requests for customers, visitors and callers.

Retention and privacy requests

Your business selects a recording retention period of 30 or 90 days, after which recordings are deleted. Transcripts and summaries remain while your account is open and are deleted within 30 days after closure or on request. Audio retention and transcript retention are separate schedules.

Access, correction, deletion and opt-out requests can be sent to [email protected]. Callers may contact your business or us about their information. Identify the practice and records involved so the request describes the information at issue.

Service limits and liability

The service is provided as is. AI errors can affect call handling and written summaries, so your practice must review results and keep a backup way to be reached. Try relevant scenarios and check your settings before relying on the receptionist for forwarded calls.

Our liability is capped at the fees you paid in the prior 12 months. This cap is part of the service terms alongside your responsibility for practice information, consent records and call review. Consider these limits when deciding how to use the receptionist in your office workflow.

Governing law and changes

These terms are governed by the law of California. We notify you of changes to the terms by email. The date on this page identifies when this version was last updated.

Send questions about the agreement or your subscription to [email protected]. You can request a free trial after reviewing the plan, health information status and responsibilities that apply to your practice. No sales call is required to begin.
