AI and Recording Notices at the Start of Every Call

Your receptionist opens each call by saying it is a virtual assistant and that the call is recorded. These notices stay on when you customize your greeting.

  • Clear introduction

Callers hear that your receptionist is a virtual assistant.

  • Recording notice

The opening greeting tells callers their call is recorded.

  • Fixed disclosures

Your practice cannot switch either opening notice off.

See the details

The greeting identifies your receptionist as a virtual assistant answering as your business and announces recording before intake begins. Your office information shapes the conversation that follows, including appointment requests, messages and routing instructions. Changing those details does not remove the opening notices.

The browser demo also records and transcribes conversations so you can inspect the result. Use a fictional patient and made-up contact information when you listen to the demo greeting. You can hear the disclosure yourself before deciding whether to request a free trial.

Call Storage, Service Providers and Retention

Your dashboard holds call recordings, transcripts and summaries, supported by hosting and storage providers. Recordings follow your chosen retention period; transcripts and summaries remain while your account is open.

  • Dashboard records

Review call summaries, transcripts and recordings within your account.

  • Storage providers

Hosting and storage services support the call records we process.

  • Recording period

Choose 30 or 90 days, followed by recording deletion.

You can review call information in your dashboard, and call alerts arrive by email and app push notification. Service providers involved in processing include telephone carriers, AI voice and text providers, hosting and storage, and email delivery. These providers process information to support the receptionist and deliver your call records.

Recordings are deleted after the 30-day or 90-day period your business selects. Transcripts and summaries stay while the account remains open, then are deleted within 30 days after closure or on request. Our privacy policy explains the data categories and the roles of your practice and our providers.

AI Processing and the Default Training Policy

AI providers process voice and text to support your receptionist. The AI model provider, OpenAI, does not use our API data to train its models by default.

  • Voice and text

AI model providers process information used in call handling.

  • Training default

OpenAI does not use our API data for model training by default.

  • Caller marketing

We do not use callers' data for our own marketing.

AI processing helps your receptionist conduct the conversation and prepare the call transcript and summary. That processing involves information callers share, rather than only your office hours or service list. Our model provider, OpenAI, does not train its models using our API data by default.

We do not sell personal information or use callers' information to market our product to them. Your business decides what caller information to collect and why, and we process it on your behalf. Give your receptionist intake instructions that match the front-desk task you want it to perform.

Your Retention, Deletion and Access Choices

You choose the recording retention period and can request access, correction, deletion or an opt-out by email. Callers may contact your practice or send their request to us.

  • Retention choice

Set recordings to remain for 30 or 90 days.

  • Privacy requests

Email our privacy contact about access, correction, deletion or opt-out.

  • Caller requests

People who call your practice can approach you or us.

See the details

Your recording retention choice determines when stored audio is deleted. Transcripts and summaries have a separate schedule, so changing the audio period does not describe the lifetime of every call record. Account closure also starts the stated deletion period for transcripts and summaries.

Send privacy requests to [email protected] and identify the account or call information your request concerns. A caller can ask the practice that received the call or contact us directly. Your dashboard provides call records for review, while the privacy email handles requests concerning access, correction, deletion and opt-out.

Health Information Status and Service Limits

Our health information status is the pending status (no business associate agreement is in place). Until that status is set, do not use the service with protected health information; use made-up details when testing.

  • Published status

Check the pending status (no business associate agreement is in place) before considering calls involving protected health information.

  • Practice oversight

Review call summaries because the AI can make mistakes.

  • Fictional testing

Use invented patient details to assess the browser demo.

Our position on use with protected health information is the pending status (no business associate agreement is in place). Until this status is set, the service must not be used with protected health information. We make no certification or independent audit claims.

Your receptionist handles front-desk conversations, messages and routing rather than clinical decisions. Keep an on-call clinician available for clinical calls and a backup way to reach your practice. Review summaries for errors as part of your office workflow.
